Card charged more than the crypto order?

Separate a pending authorization, settled payment, currency conversion and additional fee before calculating the difference.

Read the status before adding two lines

Two similar amounts in a banking app can look like a duplicate payment. Record the status of each line first. A pending authorization and a settled transaction may relate to the same purchase, while two settled transactions require a different investigation. Keep their amounts, currencies, dates and reference numbers, then ask the bank whether they refer to one payment.

A pending amount can affect your available card balance without establishing a second final purchase cost. There is no universal release period that this guide can promise. Use the period given by your bank, retain the inquiry reference and follow up if the status remains unexplained after that period.

Keep the order currency beside the billing currency

An order for 100 USD cannot be compared directly with the number on a statement billed in another currency. Find the original transaction currency and amount, the settlement currency and any conversion information supplied by the bank. A rate found online today does not establish the rate that applied to your payment.

For a hypothetical example, suppose the settled local-currency payment is 275 and a separate fee is 5. Total cash spent is 280. If the 5 is already inside a total payment of 275, spending remains 275. These are examples of field treatment, not current exchange rates or a particular bank's charges. Preserve the original labels so you can tell whether the fee was included or additional.

When the payment page offers currency conversion

Visa’s DCC guidance calls for both currency amounts, the exchange rate and added charges to be shown. If your payment actually offers DCC, retain those fields for comparison with the bank statement. This does not establish that a crypto purchase used DCC or that your card supports it.

Ask about the first place where the records differ

If the order matches the bank's original transaction amount but the converted settlement needs explanation, ask the bank about the conversion and its own fees. If the final order amount differs from the accepted confirmation, send the relevant order evidence to the platform. When you cannot locate the difference, retain both sets of fields without assigning the whole amount to a platform fee.

A useful question states the order currency and amount, the settled payment and the separately listed charge, then asks for the conversion basis and whether the charge is included in the total. A general reply saying that fees apply does not reconcile your particular payment.

Four fields that must not all be added together

Keep the merchant's original amount, the bank's settled amount, separately charged fees and settled refunds in separate columns. The first two may describe the same money in different currencies. If a bank converts an original payment of 100 USD into 275 in your billing currency, spending is 275 in that billing currency, not 100 plus 275.

Add a separate fee of 5 only if it is genuinely outside the settled total. Keep a refund as its own linked movement instead of rewriting the original charge. If the bank does not show the conversion rate, a confirmed settled amount can still establish cash spending. It does not establish every step of the bank's conversion calculation. “Total spending known” and “conversion basis unresolved” can both be accurate.

This distinction is useful when comparing a quote with a finished payment. You may know what you ultimately paid even though you still want the bank to explain why its conversion differs from an earlier estimate.

Two equal payments need more than an amount match

Imagine two orders for 100 USD on the same day, with one later cancelled. The bank shows two charges and one refund. Matching only by amount lets the refund be assigned to either order, potentially producing balanced totals for the wrong transactions.

Look for payment references, order references or explicit linkage supplied by the institutions. If that is unavailable, retain the times and statuses and ask for confirmation where the match remains ambiguous. Do not allocate the only refund simply to close one case first. A screenshot should retain the relevant status and reference fields, not only the large payment number. Redact a separate copy for public use while preserving your original evidence.

A cancelled order and a released authorization are different events

The platform's cancellation status describes the order. The bank's authorization release or completed refund describes the payment side. Put both statuses and their times next to each other. Do not delete the bank entry because the order says cancelled, and do not call a pending reservation a confirmed loss.

Ask the bank whether its reference is a pending authorization or a settled charge, then ask which party needs to provide the next piece of information. Keep the answer and date. This guide does not assume that all card purchase products use the same authorization or refund process.

Ask the issuer about a disputed card charge

Visa directs card-charge disputes and questions about declines to the issuer. Use the contact details on your card or the bank’s official site and provide the relevant transaction record. This promises no refund outcome and does not state the rules of other card networks.

Follow a refund back to the original order

Calculate unit cost only for a completed purchase with a positive net quantity still acquired. For a cancelled, fully reversed purchase, reconcile the cash and refund difference separately. Do not retain a reversed credit as receipt or divide by zero.

A refund should be matched to its original payment by the available reference information. Record whether it is pending or settled and whether its currency differs from the original charge. A smaller number alone does not prove that a platform withheld funds; equally, an exchange-rate explanation should not be assumed without the records.

Keep the payment, separate fees and settled refunds as individual rows with their directions. Calculate the net cash spent, leaving pending items separate. Once the cash side is explained, use the matching purchase credit as the quantity in your cost calculation. Do not substitute the whole account balance. Continue with receipt reconciliation if the asset quantity still differs, or use the total-cost method to update an earlier estimate.
